Tuesday, May 14, 2019

1. The meeting was called to order at 6:30PM.
Present: Jen Dechen, Herb Jamison, Anna Boarini, Ralph Jacobs, Amy Howlett (director), Barbara Ball (minutes)

Absent: Sara Druen, Margie Reurink

2. Additions/ subtractions to the Agenda
Herb suggested adding a Feed Your Passion review to tonight's discussion.

4.   Review and approve minutes from the April meeting
Minutes from the April meeting were reviewed and approved as written. (Jen motioned, Herb second.)

5. Amy shared the director's report.
FOSTL book sale will take place July 26&27. Sorting will take place at the Armory on Mondays from 9-12 and Thursdays at noon(?) starting May 16th. Trustees are welcome to volunteer!

6. Strategic Plan Report
Amy gave a review of the strategic plan and its goals. Discussion and highlighting of different action steps we have already taken on these goals.
Discussion on how the e-newsletter was sent out using Constant Contact.

7 Policy Discussion: Second reading of Behavior Code, Policy on Public Access to Computers and the Internet
Amy will send an email to VT Dept of Libraries consultant to ask about vaping.
Motion accepting the second reading of the Behavior Code. (Jenn motion, Herb second.)
Policy on Public Access to Computers and the Internet – Second Reading.
Motion to accept the second reading of the Policy on Public Access to Computers and the Internet. (Ralph motion, Jen second.)
Discussion on making the public computers more private. Amy will order 2 screen privacy screens to use on 2 of the public access computers. We will see how it goes using them.

Feed Your Passion Review:
Herb said he felt trapped at his site as a presenter and felt other presenters did too. In the future, could there be some way for presenters to go look at other presentations? Maybe board members could spell presenters' stations while they check out the other presentations. Or maybe presenters  could come early to wander more and “get the hot take” of everyone else.
Discussion that the back of the 2nd floor was a “dead zone” with not many visitors. Maybe in the future, all second floor presenters could be together in the front. The children's room was very lively with presenters and participants.
Overall the feeling was that it went really well. A lot of positive feedback was received.
Discussion that the map for attendees wasn't really used and probably won't be necessary for next year.
Next year, the board should remind the new librarian of the Powerpoint used for Feed Your Passion, etc.

8. 200th Birthday Update
Things are underway and “going great!”

9. Hiring Update
Anna updated other board members on the search process for the new librarian. They've had 5 interviews so far. All were really strong candidates. The job has been offered to the top candidate who is considering it. If this individual doesn't accept it, the other applicants were also very strong candidates, so we are in good shape.
Anna said the hiring committee was focused on finding someone with management experience and someone who will respect the history of the staff and the library. They wanted to ensure the new librarian would be looking at the library as a community center and as a valuable asset. That they would recognize it's not just about the books.
Anna will email the board when/if the candidate accepts the job.

Discussion that this board is an advisory board which is different from most Vermont libraries. The library staff here are town employees.

All trustees are encouraged to join the Vermont Department of Libraries' trustee listserv.

8. Next meeting date: Tuesday, June 11th, 6:30pm.
This meeting date may be changed so that the new director can attend.
