Minutes - November 10, 2014 Meeting

November 10, 2014

Present:  Trustees Patricia Magrosky, Sandra Richardson, Kevin Coen (Chair), Steve Matush, Kerstin Burlingame, and Library Director Russ Moore.  Meeting was called to order at 6:34pm.
Public Comments: There were no public comments.
Addition to the Agenda: There were no additions to the agenda.
Minutes from October 13, 2014: Patricia moved to accept the minutes, Kerstin seconded.  The Board accepted the minutes.
Old Business:
 Library Resources Brainstorming: The trustee’s shared their “homework” from October’s meeting.  Kerstin suggested Jenny from the Jenny Wren cafĂ©.  Kevin mentioned Father Peter, and Pastor Geri.  Some other members in the community that were suggested were: Scott Paige, Lori Muse, Tom Yennerell the new Town Manager, as well as someone from the Lions Club, Rotary, and the Garden Club.  These folks don’t necessarily have to have their pictures taken, maybe support the cause.  The people that want to participate could say what they “Geek”.  Patricia explained that the marketing template suggests a soft launch of the campaign at the Library Holiday Party.  Kevin had the idea of a table in the left corner of the lobby where the computer stations are.  The Trustees don’t know what the Friends have planned for the party so Patricia will email Bunni and let her know the idea.  Patricia also suggests that each Trustee invite someone that may not usually attend this event.
FY2015-2016 Budget Discussion Russ presented his FY2015-2016 Budget proposal for discussion:  His budget request includes a 2.9% increase.  The Capital request is for motion lighting and security cameras for the back of the library, a recommendation from the Police Chief, and to replace the older T-12 lights throughout the building.
FOSTL Report: The Open House (Holiday Party) will be Friday December 12, 2014 at 6:00pm.  FOSTL will be decorating the Library on Thursday December 4, 2014 at 10:00am.  If any of the Trustees can help with decorating, the group would appreciate it.  FOSTL agreed to pay up $3,000 for the bat remediation; this is the process of sealing up the holes so the bats cannot renter the building.  The next FOSTL meeting will be Wednesday December 3, 2014 at 6:30pm.  Kevin will go to that meeting.
New Business:
VT Library Trustees & Friends Conference Report Kevin and Patricia went the conference.  Both agreed that the conference had a lot of information about Libraries.   Community Outreach was a topic that was presented at the conference, Kevin and Patricia gave examples of folks from the community.  Betty from Woodbury’s could have a flower arrangement program, Sue Fogg could run a program on canning, maybe someone might present composting.  Kevin suggested this be the conference that the trustees attend each year
Edge Initiative Action Plan the Town of Springfield was chosen as a pilot for this program.  This program and the “Geek the Library” campaign could blend together.
Directors Report: Russ reported that there had been lots of building maintenance.  Bats in the Belfry did the bat remediation work.  They were not able to get to two spots in the alley way of the building because of the size of the boom truck that was rented.  The company guarantees their work and will come back in the spring to finish up if needed.  The gates have been ordered and should arrive soon.  When they get here they will be put up.  Russ explained that there is a leak in the front lobby by the computers, which is going to need to be taken care of.  There were some slates found outside, which are coming off of the roof.  This might be where the leak is coming from.  One of the two Kindles has been returned.  The other Kindle was damaged and will need to be replaced by the patron.  If the patron had returned the damaged Kindle the library would have been able to replace it as it would have been covered under warranty.
Next Meeting Date and Adjournment:  December 8, 2014 at 6:30pm.  Please bring your items for the holiday basket that will be raffled off at the Holiday Open House.  Kevin adjourned the meeting at 8:11pm.

October 13, 2014

Present:  Trustees Patricia Magrosky, Sandra Richardson, Kevin Coen (Chair), Steve Matush, Kerstin Burlingame, and Library Director Russ Moore. Meeting was called to order at 6:38 pm.
Public Comments: The new Town Manager was announced. Tom Yennerell will start on November 17, 2014. Bob Forguites will work with the new Town Manager for a while.

Additions to Agenda: Steve suggested changing the day of a trustees’ meeting to a possible Tuesday to invite the new Town Manager for a sit-down with trustees. (A Tuesday would enable the Town Manager to attend the select board meeting on Monday as usual.)

Minutes from August 11, 2014: Change “adaptation” in the last sentence in the Emergency Response Plan paragraph to “adoption.”  Sandra moved to accept minutes as amended. Pat seconded. The Board accepted the minutes unanimously.
New Business:  Pat and Kevin presented a very thorough and interesting “Geek the Library” campaign. Pat created binders with information, suggestions, and a marketing template to help guide the board. Each trustee’s “homework” is to brainstorm three community members (even local “celebs” around town) to participate. Russ thought “Geek the Library” will tie in well with the Edge Initiative and other things currently unfolding.
FOSTL Report: The Library Open House (Holiday Party) will take place on Friday, December 12, starting at 5:30. They would appreciate help decorating the library for the holidays on December 2, Tuesday, at 10:00. They are actively seeking donors for the holiday gift baskets that are raffled at the party and would like those donors locked in by November 1st. Pat suggested the trustees create a raffle basket themselves (because she has such awesome ideas!) and the board concurred. Each member picked different items to donate to the food-themed basket. Kerstin will email FOSTL with items that will be donated. Kevin suggested mentioning to FOSTL Michael Nethercotts, Vermont author, for a featured speaker at their annual meeting in April. Bunni wrote a play that will be performed in Spring at the Unitarian Church as a fundraiser for the Art and Historical Society.
Director’s Report:  Russ reported programs for kids, young adults and adults are back after a break last month and circulation is trending up again. Cheryl hosted a successful Children’s Literary Festival on September 27. She may do it later in the Fall next year, possibly in early November. Cheryl attended the Association for Rural and Small Libraries in Tacoma, WA. Shelly Sechrest and Ethan VanGulden were hired as the new pages. Bob Wilkinson finished his assignment with the Library on October 9th. The Library celebrated Patron Appreciation week September 15-21. On Monday, October 27, the Library staff will hold its annual Volunteer Appreciation luncheon. The Catamount Library Network is expanding: the number in the consortium is now eight; another five have expressed interest in joining.
Budget: Budgets need to be in by November 17, 2014 when the new Town Manager starts. Pat suggested adding more funding to maintenance of the building. Russ said he would like more money to not only go there, but to library materials as well. No additional staff hours will be requested. Two maintenance items that are not currently funded are bat remediation and security lights for the back of the library. Russ thinks the bat remediation work is more important to attend to first before the security lights will be addressed in the FY2016 budget. Russ is looking for a funding source for the bat remediation work currently.
